Position Summary:
Macfadden is seeking a Senior Administrative Coordinator to support a key staff member in USAID’s Office of Foreign Disaster Assistance (OFDA). The Office of U.S. Foreign Disaster Assistance (OFDA) is responsible for leading and coordinating the U.S. Government’s response to disasters overseas.
Key Internal Interfaces: OFDA SMT, PMU
Key External Interfaces: OFDA Travel Team, DCHA, USAID
Essential Functions:
Manage schedule for senior management
Organize and confirm appointments, manage calendar
Maintain daily appointment books with detailed meeting information
Prepare materials for daily schedule
Ensure timeliness of scheduled activities
Organize preparation and materials for meetings and events
Assemble briefers and background materials with key high level personnel
Work with appropriate offices on talking points and meeting preparation materials
Ensures consistency throughout the organization and clarity
Draft emails and correspondence for senior management response
Assists in managing email flow, ensuring that critical messages and outreach are read and responded to promptly
• Take notes of key meetings, capture action points, and coordinate follow-up as needed
• Develop and maintain broad level awareness of organization’s major ongoing priorities
• Coordinate special projects and events with, and in support of, other OFDA divisions
• Coordinate travel requirements for staff; in coordination with the office travel contractor, prepare travel itinerary, prepare visa applications, and prepare country clearance requests
• Manage administrative logistics and requirements
• Coordinate tasker tracking
• Serve as the OFDA after-hours duty officer on a rotational basis, for approximately one week every six months
Education: Bachelor’s degree
Experience: Minimum 3 years of administrative or program support experience, preferably in the humanitarian or related field
Skills: Exceptional attention to detail and ability to multi-task. Excellent writing skills. Proven team work and interpersonal skills.
U.S. Citizenship is required; selected candidate must be able to qualify for a government sponsored security clearance.
