Executive Assistant, Communications and Marketing

We are currently seeking an Executive Assistant to assist the Executive Vice President, Communications & Marketing in all aspects of administrative support. In addition, the Executive Assistant performs various administrative tasks as necessary to assist the Public Affairs, Corporate Communications & Marketing and Graphics & Design teams.

•Prepare a variety of materials from rough drafts through finalization, including email correspondence, memoranda, agendas, schedules of events, reports, presentations, check requests, staff calendars and media advisories. Draft general correspondence including business letters, letters to members/officers, letters to the Communications Council and letters to other constituents;
•Maintain complex calendar; schedule all appointments, meetings and conference calls;
•Book travel arrangements, prepare travel itineraries and materials for meetings during travel;
•Handle telephone calls, including screening incoming calls, mail and packages;
•Mail, scan and fax as necessary, a variety of documents relating to the communication activities of the Association;
•Coordinate the Communication Department’s reports: monthly activity reports, budget committee reports, tickler, staff meeting notes, etc;
•Proofread final copy of all materials for grammar, spelling and other errors;
•Provide administrative support services to members of the Communications Department, as directed by the Executive Vice President, Communications;
•Coordinate media registration for all SIFMA conferences and events;
•Responsible for maintaining departmental leave records;
•Responsible for ordering all office supplies for the department;
•Attend SIFMA meetings, industry meetings, press conferences and other assignments as needed;
•Ensure all assignments/projects are completed with accuracy and efficiency, including follow-through to ensure that appropriate and timely actions are taken.

•Undergraduate degree in Communications, Marketing, Public Relations or Public Policy a plus;
•5-8 years experience as an administrative assistant, staff assistant, scheduler, junior account executive in financial services or government affairs;
•Excellent organizational, writing, technical and interpersonal skills are a must;
•Proficient in AP style writing/editing and Microsoft Office Suite;
•Ability to thrive well under pressure, handle multiple assignments simultaneously and manage own priorities a definite requirement;
•Must be able to work well as part of team, but also carry out projects independently;
•Some overtime required.
