Executive Assistant to President/CEO Trade Association

Arlington VA office of a National Association is looking for an exceptional Executive Assistant to support the President and CEO.
Position reports directly to the President/CEO

FUNCTION: This position is primarily responsible and accountable for providing Executive level administrative support to the office of the CEO as well as limited support to other departments of the Association. This includes membership outreach, Communications and some low-level computer support and problem solving of a responsible and confidential nature for the Association CEO.

The position provides operations and administrative support to the CEO in managing governance processes and member relationships, key stakeholder relationships, confidential correspondence, arranging meetings and appointments, coordinating projects and all travel planning for the CEO. With guidance from the VP, Finance & Administration acts as an assistant office manager with regard to mail, printers and copiers, common areas, and office supplies. Manages, updates and maintains the Association’s membership data.

Salary $45,000 – $52,000 plus benefits

PRIMARY RESPONSIBILITES:
Provides a wide variety of operational support to the CEO, including support for managing governance processes and member relationships, key stakeholder relationships, key contacts, managing files and records, preparing and editing correspondence, reports, and presentations, scheduling meetings and appointments, arranging travel itineraries, and preparing and submitting travel expenses on behalf of the CEO.

Managing projects and conducting research as required by the CEO. Prepares benchmarking information as required using search engines, websites and other industry data.

Acts as the assistant office manager, under the guidance of the VP, Finance and Administration, with responsibilities including managing incoming and outgoing mail and packages, ordering office supplies, maintenance of printers and copiers, ordering recognition gifts and signage as required.

Manages and updates the Association’s membership data and ensures accuracy of all committee and division rosters.

Participates in the support of major meetings including the assembly of briefing and meeting, and timely shipping as required.

Providing quality customer service while managing hospitality requirements for special events such as committee meetings, stakeholder meetings, or other events, including research of location, venues, menus and coordination of logistics for such events.

Performs additional responsibilities as appropriate or as requested.

MINIMUM QUALIFICATIONS AND SKILLS:

High School diploma required; college degree preferred.
1 – 3 years directly related experience in a trade association, non-profit or related industry.
Demonstrated skill in the use of Microsoft Office suite especially the use of Microsoft Word, Outlook and PowerPoint.
Demonstrated organization skills and ability to plan projects, solve problems, ask questions, complete tasks accurately and meet deadlines.
Demonstrated ability to read, write, and understand policies and practices.
Excellent interpersonal and communications skills, with demonstrated ability to effectively interact with all levels of employees, all levels of membership and stakeholders and in a manner sensitive to matters requiring a high level of confidentiality.
Knowledge of databases and database management.
Able to work in a professional environment with flexibility to work extended hours, when required.
