Senior Advisor to the Chief Executive Executive Officer. New York, NY. Full-time.

Iraq and Afghanistan Veterans of America (IAVA) is currently seeking a Senior Advisor (SA) to the Chief Executive Officer (CEO).

The SA’s primary responsibilities will include strategic time and relationship management for the CEO. S/he will also serve as traveling aide to the CEO, responsible for calendar management and meeting and event preparation. Additionally, the SA will support the CEO’s relationship management to ensure consistent, efficient and effective communication.

The SA reports directly to the CEO.


Iraq and Afghanistan Veterans of America (IAVA) is the nation’s first and largest organization dedicated to serving the 2.6 million veterans of the wars in Iraq and Afghanistan, from their first day home to the rest of their lives. IAVA strives to build an empowered generation of veterans through programs in four key impact areas: Health, Education, Employment and Community.
Health – IAVA makes it a priority to ensure that both mental and physical health needs are being effectively addressed in our community, and has provided support to over 20,000 returning veterans nationwide.
Education – With nearly a million new veterans headed back to school under the New GI Bill, IAVA has provided over 500,000 with the tools and support needed to make informed decisions about their education.
Employment – No veteran should come home from Iraq or Afghanistan to an unemployment check. To fight shockingly high joblessness rates, IAVA’s Combat to Career initiative helped over 270,000 veterans in their transition to civilian careers in 2011.
Community – Less than 1% of the country served in Iraq and Afghanistan – a stark contrast to the 12% that served during WWII. Building community, both online and on-the-ground, is a critical factor in fulfilling IAVA’s mission, which means bridging geographical divides to create a united, supported and proud movement of new veterans.

Oversee Internal and External Organizational Scheduling:

Provide strategic oversight of the CEO’s schedule, i.e. build and maintain daily and long-term calendar strategy, including internal and external appointments
Serve as point of contact for communication with the CEO at all times
Perform research and briefings to prepare CEO for all scheduled events (internal and external)
Provide administrative work supporting all scheduled appointments such as printing out all meeting materials, briefings and assembling folders/packets
Coordinating with key staff members about CEO scheduling; manage personnel logistics
Provide advance work as needed for meetings, conferences and special events
Other duties as assigned
Fulfill personal assistant responsibilities, including personal scheduling

Provide administrative support to execute scheduling needs
Ensure the CEO’s timeliness and support travel logistics throughout the CEO’s day (maps, directions, contact information, weather contingencies)
Coordinate with all necessary third-parties about CEO’s whereabouts and timing
Other duties as assigned
Serve as a traveling aide to the CEO

Manage meeting and event preparation for the CEO, including advance work such as location scouting and all last-minute event execution needs
Manage the CEO’s priorities as calendar day or event progresses
Assemble all travel packets and ensure all necessary materials arrive at given destinations
Arrange ad hoc travel support
Other duties as assigned
Support organizational relationship management

Support the CEO’s communication with partners, professional contacts and friends of the organization
Oversee schedule to prioritize relationships effectively
Liaise with friends of the organization on the CEO’s behalf
Represent IAVA and the CEO positively in all interactions with external contacts
As needed, proactively solicit events, opportunities and speaking engagements for the CEO
Other duties as assigned

Experience scheduling for a political office or high-paced corporate office
Ability to work calmly and efficiently under pressure and stress
Self-motivated and proactive; possesses the ability to focus on long-term and short-term projects simultaneously
Willing to work a flexible schedule including long hours, nights, frequent travel and occasional weekends
Track record of delivering superior results, commanding respect, and assuming leadership roles
Passionate about the Organization’s mission and knowledgeable about the importance/impact of scheduling and written correspondence
Success in roles requiring execution of multiple tasks while responding to multiple time-sensitive priorities
Enjoys and excels at working as part of a team
Bachelor’s degree
